Key Responsibilities

  • To ensure proper communication and coordination between flight ops and all other departments.

  • To be the custodian of all flight operations subscriptions i.e. jepps approach plates, ASAP performance charts, All the manufacturer subscriptions for both the Dash 8 and Cessna fleets and all the company operation manuals.

  • To coordinate with all the outstations through the library on current revision status of all manuals/ subscriptions and any changes, amendments and temporary revisions.

  • To coordinate or schedule all simulator training and any outsourced training with the external providers and ensure that all travel and hotel accommodation are booked if required.

  • To coordinate with HR and finance departments on all Visa and per diem expenses if required.

  • To coordinate and assist in internal and external audit preparation.

  • To ensure that all timelines are met for any CAPs that has been submitted following an internal or external audit.

  • To liaise with the finance and HR departments on any invoices raised by external providers.

  • To ensure that all external invoices are settled within the 30 days of submission

  • To perform any other duties required by the DOO.

  • To perform all duties of the flight operations assistant when is not in the office or absent from official duty.

  • To prepare all minutes for any internal or external meeting if required.

  • To coordinate with the Chief Pilot, Inflight Manager and OCC Manager on all training due and to plan any recurrent training required.

  • To coordinate with the HR and finance departments on any claims raised by flight crew.

  • To liaise with the Chief pilot, Inflight Manager, OCC Manager on any renewals required for a specific crew and coordinate with the outstation base managers (if required) on the plans to get the crew up to date.

  • To liaise with the Chief pilot, Inflight Manager, OCC Manager on all crew changes as required.

  • To perform any duties required by the DOO.

Education Required

  • Bachelor’s Degree or equivalent in Business Administration or any related field.

  • Minimum of 2 years working in an aviation and have undergone dispatchers’ course or aviation related course will be an added advantage.

  • Must have done training in Document management or a related course.

Experience and Skills Required

  • Sound knowledge of KCARS.

  • At least 1 year of working experience in a busy environment preferably under an AOC.

  • Must have organized approach and excellent time management skills.

  • Excellent oral and written communication skills.

  • Ability to work well as part of a team.

  • Excellent computer skills.

  • Work under pressure to meet tight company schedule.

  • Good interpersonal skills.
